MINUTES OF THE 14TH ANNUAL GENERAL BODY MEETING OF RRVRPOA HELD ON 2nd July 2017 AT REMA RAINBOW VALLEY, PANCHESWARAM VILLAGE, TAMIL NADU
Roll call:
The meeting was convened at 12 noon but was adjourned due to a lack of quorum and reconvened at 12.30 pm as per the bye laws with the members present.
31 MEMBERS AND 35 VALID PROXIES.
The meeting was presided over by Mr. Sushil Joseph who welcomed the members.
Proof of notice
Mr. Joseph read the notice of meeting and the same was accepted as in order by the house. The minutes of the previous meeting were read. Mr. Joseph confirmed that the action required of the Executive Committee (EC) on various resolutions had been taken.
Reading and discussion of the annual report
The annual report of the EC was read by Sushil Joseph.
Presentation of the annual accounts
The members perused the accounts and the various queries from the members were clarified.
Mr Ganeshan raised his concerns about the financial irregularities during the tenure of the past EM as well as about the filing of papers with Sub registrar. He indicated to the GB that he had made a written complaint to the SR.
The President clarified that these issues pertained to the FY 15/16 and had been discussed at the 13th AGM. An investigation had revealed that a sum of Rs 62k had been siphoned off. The President informed the GB that of this a sum of 52 k had been recovered and that there was every chance of the full amount being recovered.
He explained to the GB that the procedural errors that had led to this misappropriation had been identified and set right. Further controls had also been put in place. He explained that the EC felt that no useful purpose would be served in pursuing the past EM .
As for the filing of papers the President explained the background to the filing of the papers and stressed that all rules had been followed.
After a vigorous discussion the feeling of the house was well expressed by Shonali Chinniah and Gita Sen who urged that the past matters not stand in the way of future progress. This view was accepted by all and a request made that the complaint filed be withdrawn.
It was decided to look into the constitution of an e group. that was non-binding in any way on the management function of the EC. The broad intent is to offer the RRV community a way to connect using Social Media.
Resolutions proposed by the EC
The EC presented three resolutions for the approval of the house.
Resolution 1 of the EC
Resolved to pass the minutes of the 13th h AGM held on 26th June2016 .
Proposed by Col Baba and seconded by Mr Sivaraman . The resolution was passed unanimously.
Resolved to approve the balance sheet and profit and loss account for the year ended 31st March 2016.
Proposed by Zarir Batliwala and seconded by Anuradha Rao .The resolution was passed unanimously.
Resolved that the AMC be raised to Rs 9000 per plot with effect from 1st April 2017 and an additional sum of Rs 600 per plot per year w.e.f. from 1st April 2017 be charged to constitute a corpus fund.
Proposed by Mr Sivaraman and seconded by Malavika Kapur. The resolution was taken to a vote and was passed by 55 votes in favour and 11 votes against.
Resolved that a sum of Rs 50000 be paid as a compassionate payment to Mr Venu.
The matter was discussed and it was agreed to reduce this amount to Rs 25000.

Resolved to reappoint M/s R. G. Hegde & Co as auditors for the financial year 2017-18,
Proposed by Kalpana Sharma and seconded by Chiranjib Sen.
The resolution was passed unanimously.
